Detailed Job DescriptionThe Senior Staff Assistant provides administrative and customer service support to the Disability Services Office (DSO) and Test Center. This includes maintaining the department database/information system, managing staff schedules, as well as providing information and support to students, families, faculty, and staff about DSO and other RIT services. Financial work includes reconciling monthly budget and procurement card statements and handling departmental purchases. Additional responsibilities include maintaining all student employment files, Kronos records, and payroll. This position reports to the Associate Director of Disability Services.
Responsibilities:
- Provide administrative support to the department, including the DSO office and Test Center. Responsibilities include: scheduling appointments and managing calendars, responding to phone calls, generating correspondence, coordinate logistics of events, managing and ordering supplies, facilitating accommodated test-taking, providing general support to members of the DSO team, and handling committee work and projects as assigned.
- Provide timely and high quality customer service to students, families, faculty, and staff to answer questions and disseminate information for this department and various campus and community resources. Maintain thorough case notes for interactions with or related to students registered with DSO.
- Record and reconcile day-to-day budget activity using Oracle and related departmental systems, to include budgets for grants. Prepare budget reports for department and assist with budget planning.
- Maintain the department database/information system: engage in data entry and updating of confidential student information; review and process new requests for accommodations (including handling of associated documentation), and notify DSO advisors of in-process applications which may require more intensive follow up or support prior to an intake meeting.
- Collect data and create spreadsheets used for analysis and assessment of department information.
- Prepare and submit appropriate forms for personnel actions such as recruiting, hiring, changing status of staff and student employees; maintain departmental personnel records.

Associates degree or equivalent experience
EXPERIENCE
2 years of office experience including accounting practices and procedures; support of colleagues; and interface with the public
SPECIALIZED SKILLS
- Strong organizational skills, with emphasis on accuracy, attention to detail, timeliness, and appropriate handling of private and confidential information.
- Strong interpersonal communication skills across multiple platforms and modalities, including the ability to convey complex information in accessible and meaningful terms to diverse audiences.
- Commitment to high quality customer service, including responding to inquiries with accuracy, clarity, detail, resourcefulness, and thoughtfulness.
- High level of comfort and fluency with computer applications and workplace technology, with particular emphasis on Microsoft Office Suite and Google Drive. Ability to effectively manage and coordinate schedules, manage databases, and oversee timekeeping for student employees.
- Ability to manage and maintain confidential and private information and records; uses confidential, sensitive and/or private records and information, protects information appropriately. Working knowledge of the Family Educational Rights and Privacy Act (FERPA) and its impact on access to student information.
- Ability to establish, build and maintain effective working relationships based on respect, empathy and honesty with diverse groups and individuals.
- Comfort with working independently, including the ability to exercise creativity and problem solving skills.
- Ability to purchase and manage supplies and equipment
- Ability to run and reconcile monthly department budget reports
Strong commitment to ongoing learning and professional development as related to disability and equity in higher education, and customer service in a higher education environment.
Preferred:
- Prior experience using Accessible Information Management (AIM) software, SIS (PeopleSoft), Oracle, Kronos, and Maxient systems
- Working knowledge of federal and state laws related to disability rights, including ADA, ADAAA, and Section 504 of the Rehabilitation Act of 1973, and their application to higher education
- Knowledge of Deaf culture and American Sign Language (ASL), or willingness to learn
- Prior experience with database input and management
- Prior experience with coordinating and managing multiple projects simultaneously
- Prior experience using Oracle Accounting software to run and reconcile monthly department budget
