Detailed Job Description Major Responsibilities
High-level administrative support for major gift fundraisers. This includes, but is not limited to:
Supporting day-to-day office functions including drafting/processing correspondence, calendar scheduling (including continual awareness of the team's schedules), reception phone coverage, and other office needs as requested.
Creating, proofing, editing, preparation, distribution and monitoring of fundraising materials, including documenting major donor proposals, grants, pledge reminders and acknowledgement documents.
Coordinating committee meetings/conference calls and calendar appointments with high-level donor prospects, RIT leadership (VPs, AVPs, Deans, etc.), and other key constituencies.
Assisting with and participating in donor and university wide events as assigned, handling support logistics including compiling meeting materials.
Arranging visits/luncheons/tours for on-campus or off-campus meetings; including organization of travel, accommodations, reservations, communication with detailed itinerary and logistics for prospects visiting campus.
Arranging travel, accommodations, logistics of prospect meetings and campus traveling partners.
Tracking and monitoring budget reconciliation for travel and procurement card with fiscal reports.
Data entry, inquiries, updating of proposals and bio information and reporting tasks with the confidential Advance database system.
Executes queries from Advance database system to develop and manipulate constituent lists, reports and presentations.
Perform other duties as assigned.

Advanced level user of MS Office, including Word, Outlook, Excel and PowerPoint and comfort in learning new, university-supported technologies and software.
