Detailed Job Description The Senior Staff Assistant position reports to the Director of Finance and provides administrative support to a team of diverse professional areas as well as administrative support to the RIT Minett Professor. The Sr. Staff Assistant serves as the back-up to the Administrative Assistant to the Vice President and Associate Provost for Diversity and Inclusion.
The central office for the Division of Diversity and Inclusion is comprised of areas that support the division through student access/success, marketing/communications, operations, assessment/research management, diversity education, diversity theatre and finance.
The ideal candidate enjoys working in customer-service and administrative roles including processing financial transactions and reports; and efficiently and professionally completes work on-time with minimal supervision while managing frequent interruptions.
Provides administrative support to: AVP for Research and Assessment, AVP for Student Access and Success, Sr. Director of Operations, Director of Finance, Director of Diversity Theatre, Director of Diversity Education and the RIT Minett Professor.
Schedules meetings as requested.
Confidentially handles sensitive information and documentation.
Supports travel arrangements.
Provides logistical support for events/programs. Which may include requests for interpreting, catering, room reservations and set-up, etc.
Handles and distributes incoming mail.
Ensures that office supplies are ordered and stocked.
Takes meeting minutes and distributes as requested when serving as the back-up to the VP Administrative Assistant.
Draft invitations, letters and correspondence
Track and organize RSVP information, create name badges, etc.
Creates and maintains data bases for various programs & projects
Budget/Finance
Reconciles monthly department procurement card purchases in PNC making appropriate account number changes in the PNC system and preparing and submitting monthly statement
Assist with running and reconciling monthly Oracle budget statements to include tracking down missing receipts for division departments as needed.
Serve as the Office's primary intake contact to RIT internal and external constituents. Other duties assigned as requested.

Minimum Qualifications Education/Experience:
Associates Degree or equivalent experience with
Two to five years in an office environment performing a range of administrative functions including customer service, budget/financial, event planning, and intermediate to advanced knowledge of Microsoft Office applications (Outlook, Word, Excel and Power-Point).
Skills:
Strong communication skills with customer focus, tact and diplomacy
Excellent organizational and customer service skills, and strong attention to detail
Ability to complete tasks efficiently while handling frequent interruptions
Successfully work independently, as part of a team, and in a fast-paced environment
Strong written communication skills including proofreading and document creation
Self-motivated with the ability to work autonomously and take independent initiative to further support the office and the team.
Problem solving abilities including the ability to manage multiple tasks/projects and change priorities in a fast-paced environment
Ability to work with diverse individuals at all organizational levels
Flexibility and willingness to assume new tasks or special projects as requested
High level of integrity and trust for confidential matters
Adhere to an established work schedule
