Client Care Specialist 7497BR National Technical Institute for the Deaf NTID Communication Studies & Services
Detailed Job Description Maintain daily operation of the NTID Audiology Center including reception, scheduling, inventory, bookkeeping, checking in/out appointments, following infection control and privacy policies, and providing general support to audiologists.
Responsible for the day to day operation and coordination of services provided by the NTID Audiology Center. This includes but is not limited to maintaining inventory and sanitization and stocking of audiology clinic supplies (Audiology Center, booths, and programming rooms). Complete all sales in the Audiology Center.
Manage all aspects of scheduling and intake procedures. For example; create appointments, complete paperwork, contact outside providers for records, scan documents, send reminders, check people in and out.
Schedule students, faculty/staff and other clients for audiology clinic appointments, ENT appointments and Vision appointments as requested. Email or mail new intake forms. Send email reminders.
Answer Audiology Center phone, cell phone, fax machine, and respond to Audiology Center emails. Respond to requests for medical records and obtain transfer records for new patients.
Check clients in for appointments. Ensure all intake forms are completed. Collect forms, insurance cards, and scan into EMS and/or give to audiologist. Complete check-out activities after appointments and on-call visits including paperwork, collecting fees as necessary and recording services and payments in EMS.
Maintain Audiology Center inventory including hearing aid and Cochlear Implant parts and accessories, batteries, assistive listening devices, earmold supplies, PPE and cleaning supplies, earmold supplies. Sanitization of equipment.
Track all equipment loans creating weekly overdue notices and check in equipment returns.
Open and close shop for daily operation, including basic bookkeeping. Oversee the use of the cash register, credit card machine and Tiger Bucks transactions.
Manage/obtain incoming and outgoing mail and packages and log all records in current EMS system.
Submit to announced and unannounced audits and comply with Chairperson's instructions to changes resulting from such audits.
Attend OSHA Safety courses as required by NYS law and follow their Guidelines as they apply to the Shop operation. Submit to OSHA spot checks. Follow universal infection control procedures. Collaborate on RIT Hearing Conservation Program.
Other duties as assigned.
Experience with Microsoft Office Suite and Google Docs/Sheets.
Ability to communicate, in-person, electronically (e-mail), and via telecommunications (phone calls, text, fax) with clients, colleagues, vendors, and outside agencies who use both English and ASL.
ASL experience and knowledge of Deaf Culture or willingness to learn.
Strong professionalism and customer service skills.
Ability to follow ethical and legal guidelines (HIPAA) for healthcare settings.
May need to drive to shipping/receiving building to drop off and/or pick-up packages.
