Detailed Job Description The Administrative Assistant to the Associate Provost and Dean of The RIT Graduate School provides high-level administrative and financial support for the organization's ongoing initiatives and programming related to the day-to-day operations of graduate education, as well as the strategic initiatives. Under the direct supervision of the Associate Provost and Dean, the Administrative Assistant works to create and develop appropriate strategic processes to monitor, track and analyze project, event, and department financial transactions.
The Administrative Assistant for The Graduate School is part of the RIT team of administrative assistant staff which supports all RIT Deans, Ph.D. Directors and other Graduate Program Directors. This team, which meets monthly, manages and implements collaborative initiatives such as Dean's breakfast meetings, Ph.D. Hooding ceremony, graduate student health insurance, and Ph.D. student stipends.
Please note-some evening and weekend work may be required.
Responsbilities:
Provides high-level and confidential administrative support to the Associate Provost and Dean. These duties involve, but are not limited to, calendar management, correspondence, and office management.
Plays a significant role in the planning, logistics and implementation of the annual Graduate Education Week programming.
Coordinates all activities related to the Graduate Dean's Advisory Council, Graduate Dean's Faculty Council, Ph.D. Directors meetings, and Graduate Directors retreats/meetings. Duties include scheduling and coordination, agenda distribution, printed/digital materials preparation; hospitality, and follow-up communications/distribution.
Manages the Associate Provost and Dean's department budget, endowed funds, hospitality and travel budgets including making office/department related purchases, procurement card transactions, travel expense reports, chargebacks, and reconciliations utilizing online financial systems and knowledge of Fundriver or similiar system. Prepares or maintains reports or projections as requested by the Office of the Provost.
Has responsibility for processing and archiving research and creativity grant reimbursements.
Serves as the primary point of contact with key campus partners, Graduate Dean's Advisory Council members, faculty, staff, GSAC, DSA, Graduate Senator and Tiger Tales Toastmasters for the Associate Provost and Dean's Office for visits, telephone calls and electronic/mail correspondence.
Manages special projects as assigned by the Associate Provost and Dean, involving office management, reporting process for tuition expenditures, coordination of meetings, compilation of data, management of documents.
Other major duties include meeting logistics, event planning and communications support, scheduling and completing travel arrangements, assisting with compiling and managing documentation for internal and external reporting and supporting academic events and event budgets.
Serves on the RIT Commencement Committee and Graduate Showcase Steering Committee as chair of the logistics sub-committee.

Minimum Qualifications
5-10 years of related professional experience required, preferably providing executive-level support in higher education.
Strong written and communication skills
Excellent time management and organizational and problem-solving skills
Ability to prioritize and manage multiple, simultaneous tasks and projects
Ability to work independently and accomplish tasks given only a broad definition and general direction
Proficiency in Microsoft Office Suite software applications including Excel and PowerPoint
Critical thinking skills, discretion, professionalism, good judgment, flexibility, enthusiasm
Outstanding people and networking skills
Accuracy and reliability are essential
Ability to maintain confidentiality
