Detailed Job DescriptionReporting to the inaugural Director of the School of Performing Arts (SPA) in the College of Liberal Arts at RIT, the Senior Staff Assistant for SPA serves a pivotal role in ensuring efficient daily operations and management of performing arts curricular and extracurricular opportunities across campus. The school currently serves 1,379 Performing Arts Scholars, 389 theater and music immersion, 72 theater and music minors and 29 faculty. The Senior Staff Assistant works collaboratively to assist faculty and staff in SPA, the Director of SPA, and the rapidly expanding Performing Arts Scholarship Program at RIT. The position is responsible for a number of diverse administrative support areas that require planning, organizing, and implementing services that support administration, faculty, and students in the School of Performing Arts. The position is responsible for the administration of financial, academic, and technical issues regarding the operation of SPA as well as serving as the public face of the school to parents, students and visitors. This role administers budgets and financial transactions for the School of Performing Arts; advises the Director and Operations Director of planning and selection of necessary technology, equipment, and supplies, as well as assisting with logistics involved in hiring and onboarding processes/procedures for new faculty members. The position collaborates with faculty and staff in planning SPA-based events, coordinating details and evaluating situations, anticipating problems and devising plans to avoid or overcome them. Works independently and without supervision.
Responsibilities:
- Financial transactions and budgeting. Reconcile monthly procurement card statements for all SPA pro-cards. Track and plan for current and future expenditures; update SPA budgeting and tracking spreadsheets, process travel and expense reimbursements for faculty, staff, and students. Process honoraria payments and supporting documentation, create and issue performer/guest artist/independent contractor agreements. This includes issuing and verification of required documentation and ensuring compliance with internal controls, accounting policies, and best practices.
- Support SPA by producing requested reports and information tracking. Assist with analysis of spending and options for future needs. Create and improve forms, processes, and procedures as necessary. Troubleshoot related issues, anticipate problems, and determine best approach to avoid them. Guide faculty, staff, and students in applicable university, college, and school policies related to procurement, reimbursement, or time keeping laws and regulations.
- Serve as administrative assistant for inaugural Director of School of Performing Arts. This involves calendar management (organizing and scheduling meetings), responding to inquires/requests for the Director, assisting with planning and booking of travel arrangements for SPA-related trips, drafting and editing documents for SPA-related business, among other needs as they arise.
General office administration and coordination.
- Maintain and manage the SPA's file management system; this includes the adherence to existing file structures as well as the creation of new folders and files to ensure efficient and consistent access to information and documentation.
- Serve as SPA office coordinator; welcoming visitors, answering phones, responding to general requests in-person and digitally (maintain the department email address).
- Plan and order office/instructional supplies for faculty and staff.
- Create agendas, take meeting minutes, and ensure timely distribution of documentation.
- Maintain and track equipment and supplies to ensure faculty members have all resources necessary for their classes, projects, and research. Inform school faculty/staff of any changes in policies and procedures so they are aware of new requirements when necessary.

- Associates or equivalent experience
- Minimum of 2 years of full-time professional experience in an administrative support position, preferably in higher education.
Skills:
- Ability to work effectively both independently and as part of a team.
- Intermediate skills in Microsoft office, (Word, Excel and PowerPoint), Outlook and Google docs, spreadsheets.
- Excellent verbal and written communication skills. Strong organizational and time management skills with ability to manage multiple priorities.
- Attention to detail.
