The Office of Admissions recruits, admits, and enrolls undergraduate Freshman, Transfer, International, and Postbacalaureate students of achievement and promise.
We have an outstanding opportunity for a CRM Systems Administrator.
This position reports to the Director of Information & System in the Office of Admissions, and has primary responsibility for management of a large Customer Relationship database that tracks information for all potential and current applicants. This position helps maintain and track recruitment-related information stored in the campus student database as well as oversee all incoming student data. It also is the main technical support contact for Admissions' Outreach team, Office of Minority Affairs & Diversity's Outreach team, and other departments across campus.
This position is responsible for bringing together many types of data from many systems into a single, highly customized software in a way that is easily understandable for end users. This is to be done while also ensuring data integrity with integrated services and maximum system availability to users while keeping an eye on impacts to current development by future external factors as well as internal operational choices. This position needs to be able to meet users’ needs of consuming data in varied ways while not compromising the integrity of data.
This position will ensure that availability of a critical system remains as high as possible, which the entire department depends on to do the majority of their work. It will also make certain that personal data submitted by student is kept secure, disseminated through the university appropriately, and only used to communicate with the intended, appropriate parties.
Duties & Responsibilities
Oversight of Prospect Data Integration
Managing ongoing file import and export schedules for test scores, online forms, travel events, purchased list names, in office appointments, and departmental events
Creation of new data processes and mappings as needed to accommodate different vendors and software platforms
Managing of High School and College lists in the CRM and Student Database Management and Optimization of Outreach Systems
End user support for Recruit CRM and related systems; tracking and resolving all CRM related tickets related to Recruiting and Outreach efforts; troubleshooting workstation and server performance issues related to CRM
Develop best practices, lead user trainings, enhance documentation, and attend Outreach meetings; update Recruiter end user experience to make it simple, quick, and intuitive; oversight of processes used while interacting with prospective students
Participation in upgrade and migration testing to assess how changes will impact users and processes
Support of Recruitment Communication
Assist yearly cycle of electronic and physical communications
Facilitating Department Use of Recruiter
Adding any needed customizations, set up, and template creation to facilitate departments use of the system; assist with communication efforts; develop reporting to track the impact of departmental recruitment efforts; initial training and ongoing QA for departmental use
Ensuring Integrity of Prospective Student Data
Duplicate detection rule management and deduplication coordination/oversight when necessary
Development of Recruitment and Outreach Reporting
Continued development of recruitment, communication, travel, and campus visit reporting
Requirements include:
-Bachelor’s degree, preferably in computer science, software engineering, or other technical discipline
-Minimum of 2-3 years of professional experience, to include: •System administration of a large volume Customer Relationship Management software service and •Experience developing complex SQL reporting and integrations
-Ability to lift /move small packages (20 lbs)
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
-Experience with Microsoft Dynamics CRM administration (including XRM Toolbox) -Experience developing with C#, Java, C++ or similar software development tools -Experience with Microsoft Visual Studio development -Experience with Microsoft SQL Server management and development -Experience with Bulk Email and Text service management (Marketo, Salesforce, etc) -Experience with higher education enrollment technology, including Admissions processes and the Ellucian Recruit CRM platform -Experience with bulk data integration tools, APIs, web services, etc
