Detailed Job DescriptionThe Director Gift and Data Processing is expected to provide a level of expertise in the Advance application and is required to maintain the highest level of accuracy. They are considered an in-house expert related to data values and the interpretation of data on donors/companies and their gift and pledge histories. They are also considered to be an in-house expert of CASE and IRS rules and guidelines and best practices.
As part of their duties, the Director guides and oversees the data entry of all gifts and manually processed biographical data to the university on a daily basis. They ensure all gifts are recorded and receipted following RIT, CASE and IRS rules and guidelines and best practices. They lead process improvement initiatives relating to gift and biographical data on behalf of the division. They also audit giving related reports and forms for the university to ensure accuracy and consistency. Manages the Gift Processing Specialist and Data Processing Specialist. Reports to the Sr. Director of Finance & Administration.
Responsibilities include:
- Independently owns and oversees the overall management and operations for the complete life cycle of the gift, including constituent data entry, gift processing, and donor database integrity.
- Manages several operational functions related to gift processing, including gift acknowledgment, receiving, trouble shooting, and matching gifts processing.
- Builds strategy to effectively interpret donor intent and accurately record gifts, considering mitigating factors and following federal and other guidelines within complex work and industry process requirements. This includes developing and leading quality control metrics, training, and documentation of processes.
- Drives Advancement Services forward as a leader for process improvement initiatives. Focusing on projects that generate significant cost savings, greater efficiencies and higher staff and donor satisfaction through proven methods and new products and services, which serve to increase the accuracy and integrity of gift information.
- Interprets and explains U.S. federal regulations and all applicable laws as mandated by IRS regarding all matters pertaining to gift processing. Ensures overall compliance and independently develops corrective measures as needed. Proactively develops processes to ensure compliance.
- Establish, enforce and monitor business process controls designed to safeguard the integrity of data.
- Builds strategy and makes decisions to determine the team's key performance indicators (KPIs), goals, and metrics and is responsible for leading the training and support the team needs to succeed.
- Communicate directly with donors, financial advisors/representatives, and university staff regarding gift transactions and the delivery of assets to the university. Authorize transfer of funds across university accounts. Serve as resource for university advancement and financial officers regarding gift counting and reporting policies and procedures and data administration. Conduct staff development and training sessions as needed, including preparing and presenting information on policies and processes.
- Manages the division's pledge aging and reminder process. Reviews data for gift, donor, and financial accuracy. Reports aging activity to Finance.

Required Minimum Qualifications- Bachelors degree in accounting or finance required
- 5 years of experience in Advancement Services, an operational financial environment or a bank operation, or proven related combination of education and experience
- Proficient in Microsoft Suite; including Outlook, Word and Excel.
- Ability to work as an integral member of a team.
- Strong communication, organizational, problem-solving and analytical skills.
- Strong degree of ethics due to working in a highly confidential environment.
- Must be able to exercise initiative, independent good judgment when faced with unclear or questionable data and be able to extrapolate intent from non-standard submissions.
- Must be able to successfully manage multiple priorities and projects within tight department metrics and deadlines, as well as ability to manage conflicting priorities and projects.
Preferred:
- Masters degree
- Lean Six Sigma or Project Management certificate is a plus.
- Experience with donor management software is a plus.
