Detailed Job DescriptionPosition SummaryManages administrative processes and procedures related to RIT Housing billing that results in the collection of approximately $52M in revenue annually. Oversees several processes which impact the management of housing occupancy. Updates systems in order to prepare billing for each semester/term ensuring accuracy and preventing any interruption to business. Represents RIT Housing to students, parents and campus partners regarding financial matters.
Responsibilities- Manages administrative processes and procedures related to the following financial work that results in the collection of approximately $52M revenue annually: semester rent billing, summer term billing, summer conference billing, rent adjustments, refunds, charge backs for non-RIT guests, fees, conduct restitution, damage billing, Special Interest House dues, early and late departure billing. Coordinates with other departments to manage billing they create: Parking & Transportation RIT Inn reserved parking passes, Residence Life's live-in professional and student staff. Manages billing that differs due to special group discounts or law: RIT Global Scholars and ADA accommodations. Decision maker for financial exceptions and waivers related to the terms and conditions of the RIT housing contract.
- Manages the ineligible student process. Collaborates with Student Financial Services, Registrars, RIT Dining, Residence Life, Academic Advisors, Housing Facilities, and Student Conduct and Conflict Resolution. Utilizes OnBase, housing systems (StarRez), and Student Information Systems to work with students who are no longer eligible to be in RIT Housing to relocate and retrieve items.
- Responsible for regular communication and providing the highest level of customer service to students, parents and campus partners on a daily basis regarding student financials and billing policies.
- RIT Service Center license holder responsible for all tickets related to RIT Housing regarding student billing. Maintaining knowledge base articles related to RIT Housing student billing.
- Prepare systems (StarRez) for each semester/term billing work by updating the proration tool, billing fields, rent rates, term session dates, and reporting.
- Tests systems (StarRez) proration tool and billing workflows prior to mass semester billing, StarRez upgrades, changes in business practices, and new StarRez modules being moved into production to ensure accuracy and to prevent an interruption in business.
- Audit and reconciliation of housing billing to ensure our billing reasonability is <1%. Supports Shared Service Center by providing data for their analysis of Auxiliary Services financials.
- Manages, reconciles, and pays RIT Housing accounts and contracts for RIT Housing pro card, and document destruction.
- Responsible for identifying data points, compiling reports, presenting results while identifying trends, and helping advise department leadership on RIT Housing business processes based on data results.
- Participate in the development of department budget. Analyze and reconcile department transactions in detail with monthly budget reports.
Experience
- Bachelor's degree or equivalent experience
- Preferred bachelor's degree in business or 2+ years related experience
- Strong customer service experience
- Experience developing procedures and standards
- Proven knowledge of business accounting procedures
- Experience managing large-scale billings
- Time management skills and ability to balance multiple priorities
