Detailed Job DescriptionThe Sr. Staff Assistant reports to the Director of the Future Photon Initiative (FPI), which is under the RIT Center for Detectors. The primary job functions are to support the achievement of Initiative goals and provide administrative support to associates of the FPI. Duties include but are not limited to:
Administrative:
- Coordinate workflow, communications, processes and procedures for all work done in direct support of the members of FPI
- Track and follow up on action assignments to FPI personnel on behalf of the Director and Assistant Director's behalf and ensure that deadlines are met
- Draft and oversee correspondence on behalf of the Director and Assistant Director as directed
- Hire and supervise student employees
- Receive visitors to the Center, arrange conference calls, schedule meetings
- Process purchase requests, order lab components, coordinate FPI and Center for Detectors shipping and receiving
- Manage all aspects of FPI event and tradeshow planning, including collaboration with RIT departments, venue identification, itinerary development, printing and design of materials and budget tracking
- Maintain personnel files including FPI Staff sick/vacation time
- Acts as the liaison between Human Resources/SEO and FPI related to faculty, staff and student worker hiring, including facilitating the initiation of position requisitions, update the appropriate databases, coordinate with Office of Compliance to secure approved foreign national working status for incoming hires; process and track Human Resources/SEO paperwork related to FPI
Marketing and Social Media/Website:
- In collaboration with the Director, develop and implement social media, marketing and communications strategies for FPI and Center for Detectors; establish marketing goals based on past performance
- Maintain FPI and Center for Detectors websites
- Plan, create, and oversee the design, content, and production of all marketing materials for FPI
- Acts as FPI contact between RIT marketing, RIT University News and other RIT departments
Financial:
- Perform the monthly reconciliation of the operating budget for the FPI utilizing Excel and Oracle applications
- Run Oracle grant statements and utilize data to send monthly standardized correspondence to key stakeholders
- Organize travel arrangements for FPI members; complete and submit expense reports
- Process journal entries in Oracle as needed
- Prepare accurate reports using RAPID and Oracle for Assistant DirectorPerform special assignments as requested by the Director and Assistant Director
Department/College DescriptionThe Center for Detectors (CfD) is an RIT academic research center in the College of Science. The CfD designs, develops and implements photon devices to enable scientific discovery, national security, and better living. These objectives are met by leveraging multi-disciplinary and symbiotic relationships between its students, staff, faculty, external partners, and by pursuing projects with personnel from multiple colleges, departments, companies, and national laboratories. The CfD was established in 2010, and now includes seven professors and over two dozen students at all levels of matriculation. Our observational astrophysics programs include studies of massive star clusters, the Galactic center, the interstellar medium, the history of structure formation in the Universe and cosmology. Required Minimum Qualifications- Associates degree or equivalent experience
- Experience using technology to support key job requirements (i.e. advanced Microsoft Office Suite - Word, Excel, PowerPoint, Access); Oracle experience a plus
- Proven ability to work with multiple deadlines and multiple priorities; efficiently self-manage time limits
- Excellent organizational and communication skills including interpersonal presentation and listening skills
- Demonstrated problem-solving skills; be willing to analyze problems and offer solutions
- Write effective copy in several different styles, for websites, social media, email, etc.; knowledge of writing for Search Engine Optimization (SEO) is also needed
- Familiarity with online content marketing and social media development strategies
- Demonstrated ability to work with a variety of constituents and stakeholders to achieve goals
- Experience supervising student employees preferred
- Ability to work as part of a team with a common goal of student, faculty and staff support
