Staff Assistant (Part-time) 5775BR Enrollment Management Office of Undergraduate Admissions
Detailed Job Description This position will be a job share and requires availability 2.5 days a week from July 1st - April 30th. The staff assistant directly supports recruitment and selection efforts designed to satisfy desired freshman and transfer student enrollment goals, including international students and special populations through processing work.
Under general supervision, this position will be primarily responsible for duties related to the Admission Student Information Systems, currently Slate, OnBase Document Imaging Solution and PeopleSoft Student Information system, including Campus Solution (CS). Responsibilities include:
Processing and system loading of admissions applications, transcripts and other application documents:
Verifying and when appropriate updating student applicant records, to ensure all data is correct when applications for admission are received
Analyzing and reconciling any invalid/inaccurate data and monitoring the various information systems to manually intervene when necessary. This includes troubleshooting processing errors that are found and alerting management to potential high volume issues/ trends.
Processing visitor registration for both on and off campus program registrations, received electronically and via mail:
Utilizing search/match to update existing or load new student records to our CRM, includes updates for daily visits, group information sessions, interviews and on and off campus events (open house, receptions, etc.)
Preparation of registration and event materials pertaining to on and off campus events
Oversees the assembly of daily visitor, application acknowledgment, and/or acceptance packets for incoming class as well as the physical mailing of these items
Providing descriptive information assistance by telephone, in person and responding to email communications with prospective students and their influentials
Department/College Description This position supports student recruitment and selection efforts in the Office of Undergraduate Admissions designed to satisfy Institute established freshman and transfer enrollment goals, including international and special populations.
Required Minimum Qualifications High school diploma or equivalent is required, AAS is preferred. 1-2 years related office experience with experience in data entry, recordkeeping or processing.
Must have strong organizational skills, accuracy and attention to detail.
Ability to process a high volume of admissions applications and related credentials in an accurate and timely manner to meet institute deadlines.
Demonstrated ability to work with confidential information, which is highly sensitive and personal in nature.
Must be able to work confidently with desktop applications, databases and networked information systems.
Must be able to multi-task and have the ability to work independently while supporting the efforts of the admissions team.
