Detailed Job Description The Senior Staff Specialist in the Mechanical Engineering Department supports the management and delivery of graduate and dual degree programs including administrative support, student data processing and departmental document management. This position also supports ME Office operations, coordinates student hiring, department events and processes, and monitors the co-op evaluation report and grading process.
Major Responsibilities: Graduate Program Administrative Support
Provide a range of administrative support for the ME graduate program. Work closely with the Graduate Director and faculty who are advising graduate students
Process graduate applications, communicate with prospective students, monitor status reports
Prepare audits and graduation certification documents
Assist in preparing statistical data on graduate education
Schedule graduate thesis defense, announcements, and outcomes reporting
Prepare internship, capstone, independent study and similar individualized program of study forms
Process forms and documents including, but not limited to, full time equivalency, course withdrawal, leave of absence, I-20 extension, scholarship awards, and focus area declaration Graduate Student Support
Serve as primary point of contact for ME graduate students
Review and resolve unmet student course scheduling needs during registration
Create and maintain 1 year or 2 year plans for each student in the program
Work with the Graduate Director to support incoming students prior to and during graduate student orientation Coordinate Student Employment
Work with faculty and ME Office to determine hiring needs
Process applications and verify accuracy
Verify employment eligibility and process hiring paperwork
Monitor student hours in Kronos, address missing punches, perform bi-weekly sign-off approval, and distribute paychecks to student employees Monitor the Co-op report and grading process
Monitor co-op evaluation report status (student and employer) for undergraduate and graduate students
Communicate with students and faculty advisors to ensure that reports are submitted within RIT deadlines
Work closely with faculty advisors to submit final co-op grades upon completion of faculty evaluations Coordinate Mechanical Engineering Department Events
Program events include, but not limited to, an annual pancake breakfast, faculty/staff retreat, graduation reception, holiday events/outreach, program advisory committee meeting, etc. Other duties as assigned and needed by department

The Mechanical Engineering (ME) Department is the largest academic department in the Kate Gleason College of Engineering, with a headcount of over 900 students in first year through graduate programs. RIT offers Bachelor of Science Degrees in Mechanical Engineering, and undergraduate options in Automotive Engineering, Aerospace Engineering, Energy and the Environment, and Bioengineering. At the graduate level, RIT offers Master of Science and Master of Engineering degrees in Mechanical Engineering and a PhD in Mechanical and Industrial Engineering.
